Terms of Service

Last updated: 5 November 2026

These terms are the agreement between your practice and us for using Practice Managed. Please read them before you start. When you sign up and tick "I agree to the Terms of Service and Privacy Policy", your practice agrees to them.

Who we are

Practice Managed is run by Group Managed Pty Ltd, trading as Practice Managed, ABN 21 702 423 701. In these terms, "we", "us" and "our" mean Group Managed Pty Ltd. "You" and "your practice" mean the practice that signs up, and the people it adds.

You can contact us at any time at hello@practicemanaged.com.au.

The service and accounts

Practice Managed is online software that helps Australian general practices run the practice and prepare for RACGP accreditation. It covers things like your Manual, Accreditation, Tasks, Training, Communications and Credentials.

  • The person who signs up becomes an Org Admin for your practice.
  • An Org Admin can invite your team. Each person gets their own sign-in.
  • Each person sees only what their role allows.
  • The person who signs up must be allowed to agree to these terms on behalf of the practice.

Trial, plan and payment

  • Free trial. A new practice starts with a free 30-day trial. No credit card is needed for the trial.
  • Choosing a plan. To keep using Practice Managed after the trial, an Org Admin chooses a plan. There is one price for each site, and you see it before you add a card.
  • Payment. Card payments are handled by Stripe. We do not see or keep your full card number.
  • If no plan is chosen. When a trial or plan ends, we email your Org Admins. If no plan is chosen, your practice is switched off 21 days after the trial or plan ended, and nobody can sign in. We email your Org Admins before and on that day.
  • Refunds and your rights. If you think something has been charged in error, or you are owed a refund, contact us and we will look into it. Nothing in these terms takes away your rights under the Australian Consumer Law.

Your responsibilities

  • Accurate information. Keep the information your practice puts into Practice Managed accurate and up to date.
  • No patient details. Practice Managed is for running your practice, not for patient records. Patient details do not belong in it.
  • Your team's accounts. Add only people who work for or with your practice, and remove people when they leave.
  • Keeping sign-ins safe. Each person uses their own sign-in. Do not share passwords. Tell us straight away if you think someone has used a sign-in without permission.
  • Using it properly. Do not use Practice Managed for anything unlawful, and do not try to get into parts of it, or other practices' information, that you are not meant to see.

Your data and privacy

Your practice's information belongs to your practice. You allow us to store and use it only to run Practice Managed for you, to help you when you ask, and to keep the service safe and working.

Your information is stored in Australia. Our Privacy page explains what we hold, who can see it, where it is kept, the few services we use overseas and how long we keep it.

What happens when you leave

  • Switching off your practice. An Org Admin can switch off the whole account in Settings. Nobody can then sign in, including the Org Admin.
  • Nothing is deleted straight away. We keep everything for 90 days. If it was a mistake, email us within that time and we will turn it back on with nothing lost.
  • If your practice stops paying. As set out above, it is switched off 21 days after the trial or plan ends, and everything is kept for 90 days more.
  • After 90 days. The account is deleted for good, with everything in it.
  • Backups. Our encrypted off-site backups are kept for up to 400 days, so a removed practice's information can stay in a backup for up to 400 days.

The Privacy page sets out how long we keep other records, and notes that we are still building the automatic clearing.

Availability and changes to the service

We work to keep Practice Managed running and your information safe. Like any online service, it may sometimes be unavailable, for example for maintenance or because of a problem with a service we rely on. We cannot promise it will always be available or free of errors.

We keep improving Practice Managed, so screens and features will change over time. Help articles in the software explain how things work, and you can chat with us in the software or email us if you need a hand.

Templates

Practice Managed provides policy, course, task board and other templates as a starting point to help your practice. When you adopt a template, your practice's copy becomes your own. You are responsible for reviewing it, adapting it to your practice, and keeping it current with the RACGP Standards and any law that applies to you. We may update, replace or withdraw templates at any time. If we withdraw a template, your copy stays in your account, unchanged, and remains your responsibility. Templates are general information, not legal, clinical or professional advice.

Ask PM and Policy matching

Ask PM and Policy matching use AI. Their answers can be wrong or incomplete. Check an answer before you rely on it. Like templates, they are general information, not legal, clinical or professional advice.

Intellectual property

We own Practice Managed, including the software, its design and our templates as we provide them. You may use them for your own practice while you have an account. Please do not copy, sell or share the software or our templates with anyone outside your practice.

Your practice owns the information it puts into Practice Managed, and its own copies of templates once adopted.

Liability

Nothing in these terms excludes, restricts or changes any right or remedy you have under the Australian Consumer Law, or any other law, that cannot lawfully be excluded.

As far as the law allows:

  • We are not responsible for what your practice decides to do with a template, an Ask PM answer or anything else in Practice Managed. Those decisions are yours.
  • If we fail to meet a guarantee under the Australian Consumer Law, our liability is limited to supplying the service again, or paying the cost of having it supplied again.

Ending the agreement

  • You can end this agreement at any time by switching off your practice in Settings, or by emailing us.
  • We may switch off a practice that has not chosen a plan, as set out above. We may also suspend or end access if these terms are seriously broken, or if we need to in order to protect other practices or our service. Where we can, we will tell you first.

When the agreement ends, what happens to your information is set out in "What happens when you leave".

Changes to these terms

We may update these terms from time to time. When we do, we will put the new version on this page with a new "Last updated" date. If a change matters to how you use Practice Managed, we will also tell your Org Admins by email.

Governing law

These terms are governed by the laws that apply in Australia.
